Protection Calendar: Settings in Gestiona

General Lock Configuration
The General Lock is the option that allows you to create a data lock for all users belonging to this calendar and its control items.
When you select to create or select a calendar, you will see the Basic Data.
Select the Assignments tab. In this tab, you can specify which users will be part of the created calendar.
Simply select the user on the right side and click Add User to move them to the left side.
If preferred, you can click Add Structure to grant permission to the selected user and their subordinates.
To remove a user from this calendar, simply click on the icon next to the selected user.
Important (1):
Users with the “Import Data without Calendar Restriction” permission in their profile can edit an indicator even if it’s blocked by the calendar.Important (2):
A lock has been implemented to prevent editing of the colour limit according to the forecast lock date in the protection calendar. The forecast lock date now also prevents users from altering the colour limit during the locked forecast period.As shown in the example below:
Individual Lock Configuration
Once a General Lock is configured, it is possible to assign another existing calendar to a specific Control Item, meaning you are configuring an Individual Lock.
To do this, simply go to the Assignments tab and click on the icon next to the desired user.
When the screen opens, you will see the list with all the user’s items.
By clicking on the Calendar column, you can change the calendar for the Control Item by selecting one of the available calendars.
REMINDER:
A user can be part of multiple calendars; however, each Control Item can only be part of one calendar.
Exception Configuration by Period
This feature is used to create an exception to the dates defined in a previously configured General Lock and is intended for exceptional situations where a user needs to input information in Gestiona in a locked field.
TIP:
It is possible to update data such as Actual, Forecast/Ranges, and Goals via import. The user must have the “Import Data without Calendar Restriction” permission in their profile.

Premises
The Exception Configuration by Period is based on the following premises:
- A protection calendar is in effect;
- The lock date of the field in the general calendar has already occurred, i.e., the date is in the past;
- The new lock date of the field in the individual calendar is in the future, i.e., the date is after the present date.
How to Configure
To configure an exception, select the calendar from the list that is configured for the desired item.
After loading the calendar data, click on the icon next to the respective user.
Click on the icon next to the control item you want to configure.
Click on the Exceptions by Period tab.
Select the desired month from the list.
Then, set the new lock dates for the desired fields and click Save.

TIP:
If you need to create exceptions for multiple users, multiple items, or multiple periods of the same item, we recommend making these changes via import. There is even a specific permission for this called “Import Data without Protection Calendar Restriction“. Check this possibility with your Facilitator, Administrator, Consultant, or Qualitin Support.
