You will be able to add new users, edit existing user information, deactivate or delete a user who is no longer with the company. Remember that, even with an Administrator profile, you may not have permissions to add or change a user.
In this article, we will cover:
- How to Register Users
- How to Search for Users
- How to Deactivate or Delete Users
- How to Export the User List
How to Register Users

When the User Search screen opens, click on New.
Fill in the new user’s information on the General Registration tab.
On the General Registration tab, fill in the fields:

- Email: User’s email
- Note: This email will be used to receive all information related to Gestiona.
- Profile: Select an already registered profile
- Department: If the company is divided into departments, you can specify the user’s department
- Settings: By default, the settings will follow the Client’s configuration, but they can be changed for each user
- Routine Control: Routine control will follow the Client’s configuration, but it can be set for each user
When you click Save, the other tabs will be enabled: Configure Subordination, Configure Delegation, Register Facilitator, as well as the buttons Unlock Password, Change Password, Data Protection, and Access Dashboard.
Administrative Access
If the user is configured with a profile that grants access to the Administrative Panel, you must define which companies the user will have access to.
To do this, simply click on the Administrative Access field to activate access to the companies.
User Registration Tabs
Configure Subordination
In this tab, you can define the leader of this user.
To do this, simply type the name or select it from the list and then click on Create Subordination.
The user will be displayed below. To undo the subordination, select the respective record.
Configure Delegation
To delegate a control item to another user, you can search for the item name or select it from the list.
Then, select the user to whom you want to delegate the item.
You can use the filter to help with the selection:
- Directs: only the user’s subordinates
- My Peers: users subordinated to the same leader as you
- All: all users in the company
Once the selection is made, just click on Delegate.
MPORTANT:
It is possible to delegate a control item to two or more users, but only through the Administrative Panel.
Para remover uma delegação, basta clicar em no respectivo registro.
To remove a delegation, just click on the respective record.
Register Facilitator
In this tab, you can configure the Facilitator for this user or their Facilitated users, if you have the Facilitator Gestiona permission.
For all the details of this feature, see the article Configure Facilitator.
How to Search for Users
By default, on the Search Users screen, you will find a list of all registered users.
You can search for the user by Name, Username, Company, or Email.
To execute the search, just click on Search or press Enter.
To open the registration screen, just double-click on the desired user. By clicking on the icon, you can access the user’s dashboard directly.
How to Deactivate or Delete Users
Deactivate
By opting for deactivation, the user only loses access to Gestiona, but the user’s information and their Control Items will be retained. In this case, there will be no impact on Totals, Links, Delegations, etc.
Automation Inactive
This field ensures that the user is not considered in the EGU Report.
Delete
By opting for deletion, in addition to losing access to Gestiona, all user registration data and their items will be permanently deleted from the system. In this case, the user’s deletion will have a direct impact on Totals, Links, Delegations, Subordinations, etc.
Therefore, before opting to delete a user, remove or reorganise:
- all totals
- all links
- all delegations
- all subordinations
- all pending actions
A good option in these cases is to Move the Items to other users.
See below how to Deactivate or Delete users:
Deactivate User
To deactivate a user, simply access the desired user’s registration screen and click on Inactive.
The same applies to the Automation Inactive option.
Delete User
To delete a user, simply access the Users screen, click on the checkbox to select the desired user, and click on Delete.
Then just confirm the deletion.
