What is an Action Plan?
The action plan is a set of activities aimed at achieving a goal.
It is a management tool used:
- When I am not achieving my proposed results;
- When I am foreseeing that the results of my processes need to change;
- When an improvement opportunity needs to be implemented.
It allows a detailed follow-up of the execution of the activities foreseen to reach certain objectives and goals.
Usually it is elaborated as a spreadsheet/table where we establish the main items necessary for the execution of the activities.
When to create an Action Plan?
There are three moments where the Action Plan is commonly applied:
- When the Goal is red.
- When I foresee that the Goal will turn red.
- It can be used at any time when you want to improve results and optimize processes.
Select the desired KPI and click the 3-dot button to display more options.
Select the Action/Improvement Plan option.
To add an Action Plan, click on New Plan.
Fill in the information and click on Save.
- Name: enter the title of your Action Plan.
- From: enter the start date of the Action Plan.
- End Date: enter the end date of the Action Plan..
To add actions to your plan, select the desired plan and click New Action.
Fill in the information and click on Save.
- Priority: Prioritizes/Organizes the actions.
- What: What has to be done / what is the action.
- Why: Why this action is necessary.
- How / When: How to do it or the place where it will be done.
- Who: Who should perform the action.
- From / End Date: Select the start and end dates of the action.
- Value: How much this action will cost.
Actions that have not been completed and actions that are overdue will be indicated in your Pending Actions. We will look at this function in the next step.
When you return to your Dashboard, you can see that there is a check mark in the KPI where you made your action plan.
Notice that the Goal is different. The range is representing what your forecast will look like at the end of the plan.
