Action Plan on Gestiona: How to do it

TIP:
To learn more about the icons and all the functionality of the Action Plan screen, access our Action Plan: Overview article.

To create an Action Plan, select the desired KPI and click the Action Plan tab.

When opening the Action Plan screen, click on New Plan to register a plan.

Write the name of the Action Plan and determine when it will start and end. When finished, do not forget to Save.

The “Responsible” field was included when registering a new plan. By default, the name of the user logged into the system will come, but can be changed if necessary. This field informs which user owns the Plan, this facilitates when there is a delegated KPI, since more than one person can analyze the KPI.

After registering the plan, we must register the shares. Select the plan and click New Action.

To create the action, we must use the 5W2H technique, which consists of filling in the fields that the new action requires. Are they:

  • Priority – Prioritizes / Organizes registered actions
  • What – What should be done / what is the action
  • Why – Why is this action needed?
  • How / Where – The way to do it or the place where it will be done
  • Who – Who should carry out the action
  • From / To – Select the start and end dates of the action
  • Value – How much this action will cost

You can still indicate whether the action has already been completed and the completion date. When finished, click Save.

Register as many actions as necessary to complete your Action Plan.

When you return to your initial dashboard, you will see a black horizontal line in the months where there is an Action Plan registered and the Goal is changed.

In this case, the Goal is blank, since in January 2021 there is no value registered for Goal. To show it, you must register the values of the Green Band (lower and upper) and the target values (lower and upper) until the end of the plan.

With the forecasts and goals registered, when you return to the dashboard, you can see that the Goal column, which was previously red in this KPI, is now green – this is why, in March (last month of the Plan), the forecast is reaching the goal.

IMPORTANT:
Action plans less than 90 days old are considered inconsistent and will be disregarded from your EGU grade
