Committee Control Items in Gestiona

You can configure the feature, its properties, and generate the Automation Report.

Committee Items

The Management Committee Control Items are a set of standard control items that measure the degree of user adherence to our management methodology through the use of Gestiona.

The Committee Control Items are as follows:

Main Items

  • EGU – Management System Quality: This is the average score of all EGU criteria for active users.
  • EGU – Managers Below: This is the number of users with an EGU score below the target value.
  • Strategic Goals Achieved: This is the percentage of items with goals achieved (goals in green, blue, or teal) relative to the total control items.
  • RR Result Meetings: This is the number of result meetings held by leaders in the month.
  • RR Realisation: This is the percentage of leaders with RRs held relative to the total number of registered meeting leaders.
  • EGU – % of Managers Above Target: This is the percentage of users with EGU above the target relative to the total number of users.

Auxiliary Items

  • EGU: This is the EGU score for each user.
  • EGU – Managers Below: This is the number of users with EGU below the target.

How to Enable Committee User

Depending on the size of your company, it is possible to have more people as part of the management committee.

Thus, it is possible to enable the committee user in the Client or in the Companies registered in Gestiona.

1. Client Committee

 

IMPORTANT:
To enable this feature, you need permission to Edit Client.

To configure the client committee, click on the Client:

When accessing the client registration screen, go to the Client Committee section and click the checkbox Show Client Committee.

Next, select the Leader User and Committee User from the list.

  • Leader User: This is the user who acts as the leader or sponsor of the project. Generally, the Management Committee data will be presented to this user. The Leader User will only receive the Automation Report generated automatically by Gestiona via email.
  • Committee User: This is the user responsible for managing the committee items. This user will have the standard set of control items on their Gestiona Dashboard.

Next to these fields, you can enable the following options:

  • Generate Report for Facilitators: Enables the committee control items on the Facilitator user’s dashboard and also to receive the Automation Report via email.
  • Generate Users’ EGU: Enables the auxiliary control item EGU for all users.

At the end of the configuration, click Save.

Data Source

For the measurements of the client committee items to be calculated and updated correctly, it is necessary to enable the companies from which the data will be obtained.

To do this, simply access the registration of each company and click the checkbox Show Company Committee:

Once done, click Save.

Company Committee

To configure the Committee User of a Company, access the registration screen of the desired company and go to the Company Committee section.

In the Committee User field, select the desired user.

Once done, click Save.

 

Facilitator Items

Just like the Client Committee and Company Committee users, the Facilitator user can also have the set of committee control items on their dashboard, but only for users registered as Facilitated.

Updating Committee Items Data

The data update for the Committee Control Items can be done in two ways: Automatic and Manual.

Automatic Update

This feature is configured to automatically update the committee control items monthly, on the 1st of each month.

The data update will occur as follows:

  1. The measurements of all committee control items will be automatically recorded on the registered Committee User’s dashboard.
  2. The EGU scores of all users will be automatically recorded on their respective dashboards (provided the option Generate Users’ EGU is enabled).
  3. The Automation Report will be sent via email to the Leader User, Committee User, and Facilitator User (provided the option Generate Report for Facilitators is enabled) as shown in the example below:

 

Manual Update

In addition to the Automatic Update, you can generate an updated report of the Committee Items at any time, both in the Client registration and in the Company registration.

Simply access the Committee Report section.

Set the base date (Month and Year) and click Generate.

Thus, the data will be updated as in the Automatic Update described above.
